RAPS Convergence 2024 Submission Guidelines

Please review the following guidelines carefully. Compliance with these guidelines is essential for consideration.

Submission Deadline

  • Proposals must be submitted by the extended date of January 19, 2024, 11:59 PM EST. No exceptions.
  • Proposals must be submitted by January 17, 2024, 11:59 PM EST. No exceptions.

Proposal Types and Topics

  • Your proposal must align with the specified proposal types, tracks, and topics.
  • Your submission will only be considered as an in-person presentation only. Virtual presentations are NOT an option.

Content Restrictions

  • Proposals promoting or endorsing specific products, services or organizations are not eligible and will NOT be considered.

Submission and Presenter Policies

  • ALL proposals must be submitted via the online submission portal only in order to be considered.
  • An individual may submit up to four (4) proposals, but a maximum of two (2) may be accepted per individual.
  • Preconference Workshop or Concurrent Session proposals may include a maximum of four (4) presenters only.
  • Solutions Circle proposals may include a maximum of one (1) presenter only.
  • Proposals may not be modified or altered after the submission close date.

Committee's Right to Modify

The planning committee reserves the right to modify and/or request revisions of proposals. Modifications may include, but are not limited to:

  • The planning committee may blend/combine similar proposals to form a single session (this includes proposed content and presenters).
  • Revisions to direction of session type or format (for example: converting a concurrent session to a Solutions Circle).
  • Proposed presenters are subject to modification. This may include (but not limited to) reducing the number of proposed presenters, limiting multiple presenters from the same organization, and/or adding new presenters.
  • Health authority presenters may be included if deemed appropriate.

Proposal/Speaker Acceptance Notifications

  • Notifications will be sent in late March of 2024 to the submitting authors ONLY. Please refrain from requesting status updates before this time.

Post-Acceptance Proposal Considerations

  • The scheduling of sessions (accepted proposals) is at the planning committee's discretion and aligns with the overall program's needs. Presenters are not permitted to request specific dates or times within the program agenda.
  • If required, health authority representatives will receive a formal invitation from RAPS upon acceptance of proposal.
  • Upon acceptance, your session will be assigned a planning committee member who, if necessary, will assist in the facilitation of session development and planning. This includes:
    • Offering content guidance and essential tools for preparing your session.
    • Assisting in selecting a “session lead” who will be responsible for meeting all presentation deadlines and requirements, acting as a liaison between presenters colleagues and RAPS, regularly meeting and coordinating with co-presenters to ensure the session progresses smoothly.
  • Please refer to RAPS staff regarding overall event guidelines, logistical support, program timelines and general information.
  • RAPS offers complimentary conference registration to accepted presenters.
  • With the exception of Health Authority representatives, RAPS does NOT offer financial assistance or reimburse travel expenses for presenters. All presenters are expected to arrange and cover their own travel-related expenses.
  • All accepted presenters are expected to travel to Convergence to present in-person. Virtual presentation options are NOT available.
  • All accepted presenters are expected to adhere to and agree to RAPS’ Code of Conduct to participate. Failure to adhere to these policies may result in immediate removal from the program.

RAPS Convergence 2024 Call for Proposals begins December 11, 2023 and ends January 17, 2024 by 11:59 PM EST.
